How SiteStudio handles your information when you visit, get in touch or work with us.
SiteStudio is a trading name of SiteStudio Systems Ltd, company number 17447827. We are responsible for personal information used to operate sitestudio.uk and manage our own enquiries and customer relationships. To ask a privacy question, exercise your rights or raise a complaint, use our contact form, address your message to Gary Cartledge and select “Not sure yet” if no service option applies. You can also write to our registered office, shown on our Companies House record.
When you enquire, we collect the information you submit: your name, email address, business name, website address, service of interest and project message. During a project, information may also include business contact details, correspondence, requirements, content you provide, billing details and records of services and payments. Please do not put passwords, payment-card details or sensitive personal information in the enquiry form.
Our website and supporting services also process technical information such as IP addresses, browser and device details, pages visited, timestamps and security or error logs. Information comes from you, your use of the website and, where relevant to an enquiry, the business website you ask us to review or a person authorised to introduce you.
We use enquiry information to reply, understand requirements and prepare proposals. Where you are entering a contract personally, this is necessary to take steps at your request before a contract and to perform it. Where you represent a business, our legitimate interest is communicating with that business and providing the requested services.
We use client and project records to deliver websites and support, manage accounts and resolve issues. We rely on contract where applicable and legitimate interests in administering business relationships. Accounting and tax records are processed to meet legal obligations. Technical and security information supports our legitimate interests in keeping the website reliable, preventing misuse and investigating faults. Where consent is required for optional cookies or marketing, consent is the basis and can be withdrawn. Sending an enquiry does not itself give consent to promotional emails.
We need sufficient contact and project information to respond or provide a service. If it is not supplied, we may be unable to do so.
The website uses WordPress and Elementor, including an enquiry form, and includes Jetpack statistics provided by Automattic, Cookiez cookie controls and an Elementor accessibility service. These services can process technical information to deliver their functions. Cookies and similar browser storage may support essential functions, save preferences or measure use. Use the cookie controls displayed on the website to review available categories and manage optional choices. You can also delete or block cookies through your browser, although this can affect functionality. Where the law requires consent, optional storage or tracking requires your agreement. This policy does not replace cookie choices or make consent a condition of submitting an enquiry.
Information may be handled by providers that support website hosting, form delivery, email, storage, website maintenance and security, and by professional advisers or contractors where needed for a project. We share information only to the extent relevant to their role. It may also be disclosed where required by law or necessary to establish, exercise or defend legal claims.
Some service providers operate internationally. Where personal information is transferred outside the UK and UK transfer rules apply, an appropriate lawful mechanism is needed, such as UK adequacy regulations or approved contractual safeguards. Contact us if you would like information about the providers or transfer safeguards relevant to your information.
We retain information only for as long as needed for its purpose. For an enquiry, this depends on whether discussions remain active, whether a project follows and whether a record is needed to address a dispute. Client records are kept while needed to provide and support the service, meet accounting and tax requirements and address potential legal claims. Technical logs and statistics are retained according to their operational purpose and the relevant service settings.
Retention decisions take account of the type and sensitivity of the information, legal requirements and whether the purpose can be met with less information. Information should be deleted or anonymised when no longer needed; backup copies may remain until the normal backup replacement cycle completes. You can ask us about the retention period applicable to your specific records.
When a client asks us to build or maintain a website containing their customers’ or users’ information, the client will generally decide how that information is used. In that situation we act on the client’s instructions under the relevant service and data-processing arrangements. The client’s privacy notice applies to their website users. This notice covers SiteStudio’s own business activities.

Depending on the circumstances, you can ask to access your information, correct inaccurate information, erase information, restrict its use or receive certain information in a portable format. You may object to processing based on legitimate interests and can object to direct marketing at any time. Where processing relies on consent, you may withdraw it without affecting earlier lawful processing. These rights are subject to legal conditions and exemptions.
Use our contact form to make a request. We may need proportionate information to verify your identity. Requests are normally answered within one month, subject to lawful extensions or pauses where applicable. You do not normally have to pay a fee.
